Job Overview
As a Sr. Client Service Associate your role is to enhance the client experience by servicing clients and providing operational and administrative support to BWFA Advisors. You interface with clients and prospective clients, anticipate their needs, resolve their problems, and follow through to provide exceptional service. You will perform administrative duties that support BWFA Advisors in their daily business practices.
Responsibilities and Duties
- Receive inbound client phone calls and emails, either addressing their needs or directing them to the appropriate team member
- Research and resolve routine to complex client issues leveraging internal support or escalate as appropriate
- Proactively collaborate with Sr. Relationship Managers, Financial Planners and internal departments to ensure client requests are executed timely
- Complete follow-up communication and implementation of actions that result from client meetings
- Track and document client interactions, activities, and meetings in CRM or Smartsheet, ensuring notes are input in a timely manner
- Oversee new client onboarding activities including the collection of required documentation, partnering with internal team on process execution, client portal setup, welcome emails, and proactive communication with clients.
- Manage RMD process to ensure all eligible clients satisfy the IRS requirements, including calculating the RMD amounts, coordinating with Tax team as appropriate
- Maintain existing client relationships through the processing of client requests, resolving client inquiries, and making sure key client information and documentation is up to date
- Leverage various communication channels to keep in touch with clients and maintain strong relationships
- Process account service requests and ensure appropriate documentation
- Assist in the preparation of client reports and other materials for client meetings
- Maintain contact management system with up-to-date key client information
- Organize logistics of team marketing events, develop, and maintain team marketing materials
- Participate in opportunities to contribute to the mentoring and coaching of client associates, to include training
Qualifications
- 2-5 years experience as a Client Associate
- High School Diploma or equivalent required; College Degree recommended
- Excellent skills in Microsoft Office Suite and other technologies
- Strong written and verbal communication skills
- Detail and service oriented
